The meeting was called to order at 10:00 am by President Boudreau. He gave his announcements which were:
-
Rawlins Beharry from the Grove School of Engineering and Melissa Oden from the Division of Humanities and the Arts were invited to the Cabinet meeting to share their insight on four semester scheduling.
-
He gave an update on the Sophie Davis Program project, which will be renamed as the Sophie Davis School, with a minimalist administration. The college plans to integrate the performing arts departments more closely with the management and programming of Aaron Davis Hall, with the goal of building an audience and creating a vibrant performing arts program.
Assistant Dean Beharry and Director Oden discussed the four semester scheduling plan, and expressed concerns about reserving spots in advance for students due to issues like registration holds and limited class spaces. They suggested that opening more sections could help, but this would require technological development in their enrollment system. The Cabinet discussion included the potential benefits of expanding the current four-semester schedule to include summer and winter terms. The aim was to create a more predictable and reliable course structure for students, particularly those in STEM fields who often struggle with core courses. This could lead to increased enrollment and revenue, as well as better student outcomes. It was also proposed that advisors could use the tool to project out four semesters, helping students plan their courses more effectively. The idea of offering more summer courses was also discussed, with the potential to attract more students and provide a more honest approach to student success. However, it was noted that a fully elaborated four-semester schedule for summer and winter might not be necessary, as long as core courses are consistently offered. Other potential strategies were discussed, including:
-
Use of AI to predict seat availability through enrollment tracking
-
Collaboration across departments to avoid unnecessary scheduling conflicts
-
The key role advisors play in administering the schedule, and the importance of student-advisor relationships to assist in retention goals
-
Capitalization of available classroom usage
-
President Boudreau discussed the potential of using the Navigate system to proactively identify students at risk of academic failure. He emphasized the importance of early intervention, suggesting that the system could flag students who had previously struggled in certain courses. Provost Liss suggested that a small task force could be formed to explore the utility of Navigate and suggest ways to make it more user-friendly for faculty. He also mentioned the need for faculty to provide regular assessments to students to help them gauge their performance and identify areas for improvement.
President Boudreau gave an update on the strategic planning process, stating that it will inform budgetary decisions going forward, with the strategic plan outlining the college's priorities rather than being a hypothetical document. He emphasized that the plan should articulate broad goals rather than specific programs, allowing flexibility in implementation.
President Boudreau also elaborated on the upcoming commencement models, emphasizing the need for efficiency while acknowledging all graduates' accomplishments. AVP De Los Santos and SVP Mozeleski are spearheading the commencement planning team, and will provide commencement planning models for the next Cabinet meeting.
The conversation moved to the post election activity. President Boudreau, and AVP De Los Santos have met with student groups, including Dreamers and the Immigrant Student Success Center, and plan to continue these meetings through the coming year. The Cabinet discussion revolved around concerns that the new administration's policies could potentially have on the college's resources and students' access to financial aid. President Boudreau encouraged all members to be available to
student groups and to communicate through various programs their support. The college鈥檚 web page will need to be refreshed to promote the various resources for students. Lastly, he discussed the importance of being present for students, faculty, and staff during this anxious time.
AVP Nwosu-Stewart gave a presentation on the status of enrollment in relation to the college鈥檚 KPIs. She discussed the challenges and strategies for increasing enrollment at the institution. She noted the need for more aggressive recruitment and retention initiatives. She also highlighted her team鈥檚 work on bi-weekly admissions data, weekly reports, and new student onboarding. They have developed a platform for offering scholarships to students and the expansion of transfer explorer for transfer students. There are plans to expand recruitment events, offer additional CollegeNow courses, and procure a virtual tour system. The goal is to shift the mindset of potential students from what the college can offer them to what the college can do for them. She touched on the need for early registration, wider application pools to reduce enrollment bottlenecks, and increased online presence for the college. AVP Nwosu-Stewart鈥檚 presentation will be concluded during the next Cabinet meeting.
The meeting was adjourned at 11:53 am.
Action Items:
-
AVP Nwosu-Stewart to work on implementing a virtual tour platform for recruitment, and explore options for integrating admissions data into Tableau or CF Generator for easier access by departments.
-
Deans to track and report on outreach efforts, including number of students contacted and events held.
-
AVP De Los Santos and SVP Mozeleski to prepare commencement models for discussion at the next meeting.
